Privacy notice
What we collect through this website, why, who can see it, how long we keep it, and your rights. We’ve kept it as short and plain as we can.
Who we are
This website belongs to Essence Sports, which runs holiday camps, after-school clubs and school sport in North London. For this website, we are the “controller” of your personal information, which means we decide how it is used and we are responsible for looking after it.
Essence Sports is run by Cameron Edwards, trading as Essence Sports.
You can contact us about anything in this notice through our contact form or by phone.
What we collect, and why
When you send us a form
Our booking, contact, schools and jobs forms ask for your name and contact details (email and phone), your message, and a few details relevant to the form, for example:
- Booking a camp: which camp and days, how many children and their ages, and whether you need early drop-off or late pick-up.
- Schools: your school and the kind of cover you’re interested in.
- Jobs: the role you’re interested in, whether you hold an enhanced DBS check, and what you tell us about your experience.
We use it to reply to you and to deal with what you’ve asked for. We don’t ask for children’s names or any medical information through this website, and we ask you not to include them.
Our lawful basis is either taking steps you’ve asked us to take before a booking or job (“contract”), or our legitimate interest in answering the enquiries people send us.
Keeping the forms free of spam
When you send a form, we store a scrambled, one-way version of your internet (IP) address with your message. It can’t be turned back into your address, and we only use it to stop the same computer sending hundreds of messages. This is in our legitimate interest in keeping the service working.
When you simply visit the website
We don’t use cookies of any kind, we don’t store anything in your browser, and we don’t track you around the web. Our hosting provider, Cloudflare, processes your IP address and basic technical details to deliver the website to you and protect it from attacks.
Who can see your information
Only Essence Sports, plus the providers that run this website for us:
- Front Step Digital, which builds and maintains this website.
- Cloudflare, which hosts the website and stores the messages sent through our forms.
- If we use an email service to forward new form messages to our inbox, that provider handles them too.
These providers only act on our instructions. Some of them may process information outside the UK. When they do, it is protected by the safeguards UK law requires, such as approved contract terms. We never sell your information or share it for marketing.
How long we keep it
Messages sent through this website are deleted automatically after 12 months. If you book with us or join our team, we keep what we need for that for as long as we need it, and no longer.
Your rights
Under UK data protection law, you can ask us:
- for a copy of the information we hold about you
- to correct anything that’s wrong
- to delete your information
- to stop or limit how we use it, or to object to it being used
- to pass your information to you or someone else in a usable format
Just get in touch. We’ll respond within one month.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Photos on this website
The photos and film on this website were taken at our own camps. Our safeguarding policy only allows photos and video to be taken with parents’ consent, and we never publish a child’s name or personal details with an image. If you’d like an image removed, please contact us and we will take it down.
Changes to this notice
If we change how we use your information, we’ll update this page and the date at the top.
